About Us

Hi-Tech Japan K.K. is a bilingual recruitment and staffing firm based in Tokyo, placing high-quality bilingual professionals into multinational and Japanese companies since 2012. Our Tokyo headquarters is supported by back-office teams in Mumbai and Manila, so every day is a genuinely global one. Our office language is English, our team is international, and we are looking for a Japanese-speaking coordinator who can be the calm, organized centre of our operations — and the bridge between our team and our Japanese clients.

Why This Role Is Different

  • You are the backbone of the operation. This isn’t a paper-shuffling admin job. You’ll own
scheduling, documentation, client and candidate coordination — the whole team leans on you to
    make things run smoothly.
  • Use your Japanese every single day. You’ll handle client communication, contracts, invoices,
and compliance documentation in Japanese — while working in English internally with an
international team. Perfect for someone who wants to keep both languages sharp.
  • Three roles in one — never boring. Admin, sales support, and recruitment coordination. You’ll
see the full business from the inside, learn how bilingual recruitment actually works, and build a
broad skill set most single-track admin roles can’t offer.
  • International culture, in the heart of Aoyama. Our office sits near Aoyama-itchome and
Omotesando — one of Tokyo’s most desirable neighbourhoods for lunch, coffee, and life after
work. English is the working language internally; Japanese is your daily tool with clients and
    paperwork.
  • Small team, direct access to leadership. No corporate bureaucracy. Your ideas are heard and
acted on. Your career growth is visible and real.
  • Structured training and long-term stability. Clear onboarding, ongoing learning, and a full-time
onsite role designed for someone who wants to grow with the company — not just fill a seat.
    What You’ll Do
    Administrative Support
  • General office administration, documentation, and records management
  • Handling contracts, invoices, and client-facing paperwork in Japanese
  • Supporting compliance and license-related documentation (e.g., paid employment placement
    licence renewals)
  • Keeping internal systems and data clean, current, and organized
    Sales Support
  • Assisting with client communication and follow-ups in Japanese
  • Preparing proposals, presentations, and business documents
  • Coordinating meetings, calls, and schedules across time zones
  • Maintaining and updating the CRM and client database

Recruitment Support

  • Posting job advertisements across bilingual job boards
  • Coordinating candidate interviews and scheduling with hiring managers
  • Managing candidate documentation and screening logistics
  • Supporting recruiters with follow-ups, reports, and pipeline organisation
    Who We’re Looking For
  • Native or business-level Japanese — comfortable writing keigo emails and handling client
    documentation
  • Conversational English minimum — you’ll use it every day with the internal team
  • Strong organisational skills, attention to detail, and a calm approach under pressure
  • Comfortable in a multicultural, direct-communication environment
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Previous experience in administration, HR / recruitment, or sales support is preferred but not
required — the right mindset matters more
  • Eligible to work in Japan
    What We Offer
  • Competitive base salary (commensurate with experience)
  • Performance-based bonus opportunities
  • Social insurance (健康保険・厚生年金・雇用保険・労災)
  • Paid annual leave and Japanese national holidays
  • Transportation allowance
  • Ongoing training and international business exposure
  • A stable, long-term full-time position with real growth potential
    Location & Hours
  • Aoyama-itchome, Minato-ku, Tokyo — 3 min from Aoyama-itchome Station (Ginza / Hanzomon
    / Oedo lines)
  • 9:00 AM – 6:00 PM, Monday to Friday
  • Onsite
The Kind of Person Who Thrives Here
Someone proactive rather than reactive. Someone who takes real ownership of their work,
communicates clearly and professionally, and wants to build a long-term career in a growing
international company — not just clock in and out. If that sounds like you, we’d love to hear from you.

    How to Apply
Send your resume (English or Japanese) to info@hitechjapan.co.jp. Interviews will be conducted in
    Japanese and English.
